Dental Benefits Reporting in Avanti

Starting with your 2023 tax slips, you must include Dental Benefits Reporting on all T4s and any T4A with Pension or Superannuation amounts in box 016. This supports the federal government’s Canadian Dental Care Plan (CDCP) program.

You must report based on the dental benefits available to the employee and their family on December 31 of the tax slip year.

Setting Dental Benefits on Pay Groups
On Pay Groups, you can set the dental benefit code for most employees within the group.

Reporting for Terminated Employees
You can set all terminated employees to no insurance or coverage during Extract Employee Tax Slip Data.

Adjusting Dental Benefits for Employees 
You can update employees with different Dental Benefits by updating their information in Modify Employee Tax Slip Data or by importing it.

Reviewing Your Employees’ Dental Benefits 
Once you’ve finished updating the dental benefits for your employees, you can confirm they’re set correctly by saving the T4 and T4A Review Listing as an Excel file.

Setting Up Dental Benefits for Most Employees

In Pay Groups, you can set the Dental Benefits Code based on most of your employees’ dental coverage. During the Extract Employee Tax Slip Data, these dental benefits populate:

  • Box 45 on T4s

  • Box 015 on T4As, if there’s an amount in box 016

By default, the Dental Benefits for all pay groups are set to option 1 -  Not eligible to access any dental care insurance or coverage of dental services of any kind.

If you offer dental insurance or coverage for most employees in a pay group, you’ll want to update its dental benefits. Go to the How to Update the Dental Benefits on a Pay Group section below for more information.

The options for Dental Benefit Reporting are:

  • 1 - Not eligible to access any dental care insurance or coverage of dental services of any kind

  • 2 - Payee only

  • 3 - Payee, spouse and dependent children

  • 4 - Payee and their spouse

  • 5 - Payee and their dependent children

Adjusting Dental Benefits for Terminated Employees

If you don’t offer dental benefits to terminated employees, it’s easy to update for everyone. When you Extract Tax Slip Sata for employees, you can update the Dental Benefits Reporting to option 1, no dental insurance or coverage of any kind.

Employees with a termination date during the payroll year will have their Dental Benefit Reporting updated on their T4 or T4A slips. Go to Extract Employee Tax Slip Data for more information.

Updating Employees Individually

Once you’re done extracting tax slips, there are two ways to update employees who don’t have the correct dental code based on their pay group or termination status:

  • Update their dental benefits in Modify Employee Tax Slip Data

  • Import their dental benefits

Only have a few employees whose coverage doesn’t align with their pay group selection? You’ll want to update employees individually in Modify Employee Tax Slip Data. Go to Review, Modify, and Add Employee Tax Slips to learn more.

Reviewing the Dental Benefits on Employee Tax Slips

When you save your T4 and T4A Review Listing as an Excel file, you can review box 45 on your T4 tax slips and box 15 on your T4A tax slips. Go to Print Tax Slip Review Listings to learn more.

How to Update the Dental Benefits on a Pay Group

Complete the following for each Pay Group that has dental coverage or insurance.

This should reflect dental benefits available to your employees and their families on December 31 of the tax slip year.

The options for Dental Benefit Reporting are:

  • 1 - Not eligible to access any dental care insurance or coverage of dental services of any kind

  • 2 - Payee only

  • 3 - Payee, spouse and dependent children

  • 4 - Payee and their spouse

  • 5 - Payee and their dependent children

Step 1: Open Pay Groups in the Avanti Desktop Application.
By default, this can be found in Canadian Payroll >> Employer Payroll Tables.

Step 2: Select the group with the incorrect Dental Benefits, then select Modify.

Step 3: Select the correct option in Dental Benefits (T4/T4A), then click OK.

Step 4: Repeat Steps 2 to 3 for each pay group with incorrect Dental Benefits.

Congratulations! You’re done updating pay groups.
